Privacy Policy
Effective October 19, 2026
Who we are
Stockroom Systems LLC provides Stockroom Systems, an inventory management service. This policy explains how we handle information when you use our application, connect an online store, or contact us. Effective date: October 19, 2026.
Information we collect
Account information includes your email address, account identifier, authentication information, and any profile or business details you provide. Workspace information includes team memberships and permissions, product names and codes, quantities, locations, kit recipes, stock counts, inventory movements, timestamps, and the user associated with an action. We also process files and notes you choose to submit. Avoid entering personal or sensitive information that is not needed for inventory work.
Optional connected platforms
Online stores and ordering services connect only when a workspace authorizes a supported integration. The information accessed depends on the platform, permissions granted, and features enabled. We use connected-platform information only to provide and maintain the authorized service. Shopify is currently supported; other platforms are not connected merely because they are discussed in this policy. Before adding an integration that changes our data practices, we will update this policy as appropriate. Our current Shopify integration accesses store and product identifiers, product and variant details, order identifiers and references, order dates and payment status, item quantities, and refund, cancellation, and restock information. We use this information to match items, update Stockroom inventory, prevent duplicate changes, and show processing history. We store encrypted authorization credentials to maintain the connection. Our integration does not request buyer names, email addresses, shipping or billing addresses, phone numbers, or payment card details through its order queries. Information you enter manually or include in support messages may contain additional personal data.
Technical information and cookies
Our application and infrastructure providers may process IP addresses, browser and device information, request timestamps, security events, and diagnostic logs to deliver and protect the service. We use cookies for sign-in sessions and store authorization, and browser storage for interface preferences such as display settings. Blocking essential cookies may prevent sign-in or store connections from working.
How we use information
We use information to provide authentication and workspace access; maintain inventory, kits, and activity records; process authorized online-store updates; send account and service messages; answer support requests; troubleshoot problems; protect against abuse; and meet applicable obligations. We do not sell personal information or use connected-store data for targeted advertising.
When information is shared
Authorized workspace members can access information according to their permissions. Workspace owners and coordinators can manage access and settings. We use service providers including Cloudflare for hosting and application data, Supabase for authentication, Resend for email delivery, and GitHub for source management and configured backups. Providers receive information needed for their functions. Authorized store connections exchange information with the connected platform. We may also disclose information when required by law, to protect rights and security, or in a business transfer subject to appropriate safeguards.
Retention and disconnection
We retain information as needed to operate your account, preserve inventory history, provide support, protect the service, and satisfy applicable obligations. Disconnecting a currently supported store through Stockroom removes stored connection credentials and pauses its updates. Disconnection does not by itself delete your workspace, inventory, historical stock movements, or test history. Removing a team member does not automatically erase historical activity. Deletion requests are handled separately. Backup copies may remain until replaced or removed through backup maintenance; retained copies are restricted and are not used for ordinary operations.
Your choices and privacy requests
You can update information through available account and workspace controls, manage team permissions, and disconnect a store through Feature Settings. To request access, correction, export, or deletion of personal information, email contact@stockroomsystems.com. Include enough information to identify your account or workspace, but do not send passwords, access tokens, or payment card details. We may verify your identity and authority before acting. Some records may need to be retained for legal, security, or other permitted purposes. Depending on where you live, you may have additional privacy rights. If your information was provided by a business using Stockroom, contact that business as well; we may need its instructions to address workspace data.
Security and international processing
We use safeguards including access controls, encrypted store credentials, and secure network connections. No system can guarantee complete security. Information may be processed in the United States and other locations where our providers operate. Applicable protections depend on the service and processing involved.
Children
Stockroom Systems is intended for business use and is not directed to children under 13. If you believe a child has provided personal information, contact us so we can investigate and address it.
Changes and contact
We may update this policy as the service or our practices change. We will post the revised policy here with an updated effective date and provide additional notice when appropriate. For questions or privacy requests, contact Stockroom Systems LLC at contact@stockroomsystems.com.
